Card hold vs. upfront charge: what guests prefer
Why a pre-authorization converts better than charging the deposit on the day the contract is signed.
Guests do not object to being responsible for damage. They object to paying for damage that has not happened. An upfront charge takes money out of their account weeks before the event. A card hold reserves it. The difference shows up in booking completion, in support email, and in reviews.
What the guest actually sees
An upfront charge posts as a purchase. It hits a statement, it counts against a rewards cycle, and a refund can take five to ten business days after you decide the space is fine. A hold shows as pending. When you release it, the pending line drops off. Most banks clear it in one to three business days. The guest never wired you money they have to claw back.
Why hosts still default to charging
Charging feels safer because the cash is already in your Stripe balance. It is also the path that creates refund work, awkward partial refunds, and guests who wait to book until they are sure they can float the deposit. A hold keeps the protection and removes the refund. You capture only if there is a claim, and Stripe's fee applies to that capture, not to every booking that goes smoothly.
The conversation at check-in
Hand a guest a payment link that says Deposit due today and many of them pause. Hand them a link that says Authorize $1,500. You will not be charged unless we document damage and the same guest taps through. We hear this from venue owners and studio managers alike: the sentence you will not be charged is the sentence that finishes the authorization.
When an upfront charge is still the right tool
Retainers, booking fees, and rent are charges. They are the price of the reservation, not a deposit against damage. Keep those on a normal Checkout payment. Use a hold for the refundable security amount only. Mixing the two in one line item is how guests end up arguing about a refund you never intended to give.
A simple test
For one month, offer the deposit as a hold and track how many guests finish authorization without emailing you. Teams that switch almost always see fewer what is this charge tickets and the same, or better, recovery when something actually breaks.
